Switch your mail over without losing any

Prepare first, publish the records with the new MX in one sitting, create the mailboxes, then copy the old mail across.

Updated 1 min read

Your existing email keeps working until you point the domain's MX record at Rykon Mail. A domain becomes Ready only once every record is published, the MX record included, and mailboxes can be created only on a ready domain. So the switch happens in one sitting: prepare first, change the records, create the mailboxes, then copy the old mail in.

Before the switch

  1. Step 1: Add the domain and confirm ownership. The ownership record changes nothing about your current mail.
  2. Step 2: Write down every address in use today: each person, and each group address such as sales@ or support@.
  3. Step 3: Check your plan has room for that many mailboxes and shared addresses.
  4. Step 4: Note the server name, user name and password of each old mailbox, or create app passwords if your provider needs them. See Move mail in from another provider.

The switch

  1. Step 1: Publish the mail records, automatically or by hand, and remove the old provider's MX records at the same time.
  2. Step 2: Wait for the domain to turn Ready. It usually takes minutes once the records are in.
  3. Step 3: Create every mailbox and shared address straight away. An address only receives mail once its mailbox or shared address exists.
  4. Step 4: For each mailbox, choose Move mail in and connect the old mailbox. Copying repeats every few minutes, so mail that still lands at the old provider while the change spreads comes across too.
  5. Step 5: Give each person their new password and help them add the account to their mail app. See Connect a mail app.
  6. Step 6: Once the old inboxes have gone quiet, choose Finish the move on each copy under Moving mail in.
