Mail, the inbox

Organise your mail: folders, many messages at once, and cleaning up

Make folders (and folders inside folders), rename and delete them, drag messages onto them, select several messages to act on together, mark a folder read, and empty Trash or Junk.

Your own folders

Under the open mailbox, after Inbox, Drafts, Sent, Archive, Junk and Trash, are the folders you make. Folders inside another folder sit under it, indented.

  1. Step 1: Choose New folder at the end of the folder list.
  2. Step 2: Type its name where the folder will be, and press Enter. Esc cancels.
  • To make a folder inside another, point at the folder, choose its ... button, then New folder inside.
  • To rename one, choose ..., Rename, type the new name, and press Enter.
  • To delete one, choose ..., Delete folder, and confirm under it. Only an empty folder is deleted: if it still holds mail, or folders of its own, Mail says so and leaves it be. Undo puts it back for a few seconds.
  • A folder name cannot contain / or a full stop, and two folders in the same place cannot share a name.

Move messages by dragging

Drag a message from the list onto any folder in the left pane to move it there. Folders it cannot go to fade while you drag, and the one under the pointer lights up. If several messages are selected, dragging any of them moves them all. Undo brings them back.

Select several messages

  • Point at a message's picture and it becomes a checkbox; choose it to select the message. Once one is selected, every message shows its checkbox.
  • Hold Shift and choose another to select everything in between. Ctrl (Cmd on a Mac) and a click selects one more without opening it.
  • The checkbox at the top of the list selects every message loaded in it; its arrow selects only the Read, Unread, Starred or Not starred ones.
  • While messages are selected, the top of the list shows how many and what you can do with them: Archive, Delete, Junk (or Not junk in Junk), Move to, Mark as read or Mark as unread, Star or Unstar. Each shows Undo for a few seconds.
  • In Trash and Junk, Delete for good asks first, at the top of the list, because it cannot be undone.

A whole folder at once

The ... button at the top right of the list holds the folder's own actions:

  • Mark all as read marks every unread message in the folder read, including those not loaded yet. Undo marks them unread again.
  • Empty Trash and Empty Junk delete everything in them for good, after you confirm at the top of the list. While Trash or Junk holds mail, a line at the top of it offers the same.
