On this page
Open Mail settings with the gear at the top right of Mail. Settings belong to a mailbox you hold in full: your own, or a shared one you were given Full access to. If you have more than one, choose it under Settings for.
Signature
Write it under Signature, with bold, italic, underline and links, then Save signature. It is added to new messages and replies from that mailbox.
Auto-reply
- Step 1: Under Auto-reply, switch it on, write a Subject and a Message.
- Step 2: Optionally set From and Until: it starts and stops by itself on those days.
- Step 3: Save auto-reply.
Each person who writes gets the answer once a day at most. Mailing lists and automated mail never get one.
Forwarding
Under Forwarding, enter an address and Save forwarding; Keep a copy in this mailbox leaves a copy here too. Turn off stops it.
Mail apps and app passwords
Apple Mail, Outlook, Thunderbird and phone mail apps use an app password rather than your sign-in. Make one per device, so you can switch one off without affecting the rest.
- Step 1: Under Mail apps, type a name for the device in Device or app, such as iPhone. Switch on Calendars and contacts too if the app syncs them.
- Step 2: Choose Create. The password is shown once, with the settings to type: User name, Incoming mail (IMAP) and Outgoing mail (SMTP). Copy it into the app now; it is not kept anywhere.
- Step 3: To stop a device, choose Revoke beside it, then Revoke again. It stops at once; the others keep working.
App passwords are only ever made by the person whose mailbox it is, never by an admin.
Sign-in and security
Your password and two-step verification are at id.rykonmail.com: Sign-in and security links to Password and Two-step verification. Two-step verification is strongly recommended.
Export
Export, then Prepare an export, makes one MBOX file of every folder, which any mail app can open. When it says Ready, choose Download.
Labels, rules and notifications
Labels and Rules belong to the mailbox, Notifications to you. Each has its own article: Labels, Rules and Desktop notifications. Your address book is under Contacts: see Contacts and address suggestions.
